Explain the gap. Define the acceptable options.

A sourcing request is most useful when it identifies both the missing component and the conditions a purchasing option must meet.

Start with the exact requirement.

Share the complete manufacturer part number, requested quantity and required date. Explain whether the need is a production shortage, prototype build, recurring purchase or maintenance requirement.

Include the delivery destination and any restrictions relevant to your purchasing process. A required date communicates your priority; it is not a delivery confirmation.

Define the boundaries early.

Tell us whether the manufacturer, package, grade and source channel are fixed. State requirements for traceability, packaging and documentation. Identify which conditions are essential for your team to consider an offer.

When the requested part is difficult to source

Keep exact-part sourcing separate from an alternative-part investigation. If you permit alternatives to be discussed, specify who must approve them and what evidence they require. Similar descriptions do not establish interchangeability.
